The terms for using Letterdoor, how we handle your data, and the rules every sender must follow. Effective 12 October 2026.
Letterdoor lets you receive email sent to addresses at a domain you own and have it forwarded to a Gmail or other mailbox you choose. To let you reply under your own address, we give each person who writes to you a private reply address at your domain. When you reply to that address from an authorised mailbox, we deliver your reply to that person from your domain address. We do not provide mailbox storage. We set up and support forwarding to Gmail. Other mailboxes can receive forwarded mail, but we don't guarantee how they handle it.
Letterdoor is for businesses and self-employed people using their own domain for their own correspondence. It is not offered to consumers. You must be at least 18, own or control the domain you connect, and give us accurate contact details. You may not resell the service or use it to send mail on behalf of third parties.
You choose which mailboxes are authorised to reply under each of your addresses, and you are responsible for everything sent from them through Letterdoor. Keep access to your Letterdoor dashboard and to your authorised mailboxes secure, and remove people who should no longer reply for your business. Tell us immediately at hello@letterdoor.com if you think an authorised mailbox has been compromised. We may verify that you control a domain before enabling it, and we only send from addresses at domains you have verified.
You must follow the Acceptable use policy below. It forms part of these terms. Breaking it is the most common reason we suspend accounts.
Each plan includes a daily sending limit, currently 200 emails per day per domain. Limits protect deliverability for all customers. We may lower a limit temporarily if we see unusual activity, high bounce rates or spam complaints.
The service is activated after your first payment. The plan is billed monthly or yearly in advance, as you choose, at the price shown on our website. If you are not satisfied, ask for a refund within 30 days of your first payment and we will refund it in full, no questions asked. The refund applies to your first payment only. Prices exclude VAT, which we add where required. If you give us a valid EU VAT ID, the reverse charge applies. You can cancel at any time and the service stays active until the end of the paid period. We give at least 30 days' notice of any price change.
We may suspend sending or forwarding immediately if your account is used to send spam, phishing or malware, if your bounce or complaint rates threaten our sending reputation, or if required by law or by our infrastructure providers. Where possible we will tell you why and how to fix it. We may terminate accounts that repeatedly or seriously break these terms.
We work to keep the service running and to deliver every legitimate message, but email delivery depends on third parties such as Google and recipient mail servers. We do not guarantee that every message is delivered or delivered within a particular time. If our systems are unavailable, sending servers normally retry, and we keep queued messages for up to 5 days before returning them to the sender.
To the extent permitted by law, our total liability to you for any claim related to the service is limited to the fees you paid us in the 12 months before the claim. We are not liable for indirect or consequential losses, including lost business or lost messages caused by third parties. Nothing in these terms limits liability that cannot be limited by law.
We may update these terms. We will email you about material changes at least 30 days before they take effect. If you don't agree, you can cancel before the change applies.
These terms are governed by the laws of the Czech Republic. Disputes will be decided by the competent courts in Prague, unless mandatory consumer protection law where you live says otherwise.
The data controller for your account information is Josef Rousek, Kytlická 862/6, 190 00 Prague 9, Czech Republic, IČO 02568535. Contact us about privacy at hello@letterdoor.com. For the email we forward and deliver for you, and for the addresses of the people you correspond with, we act as a processor on your behalf, and you remain responsible for your own correspondence.
We do not sell your data, use it for advertising, or read the content of your email. Automated spam filtering scans incoming messages to decide whether to deliver them. To make forwarding and replies work, our systems automatically change the sender, recipient and reply headers of messages, and remove your personal mailbox address from the replies you send. Apart from that, we do not change message content.
We use a small number of providers who process data on our behalf under data processing agreements:
Data is stored in the European Union. If a provider transfers data outside the EU, it does so under the European Commission's standard contractual clauses or another lawful mechanism.
You can ask us for a copy of your data, ask us to correct or delete it, restrict or object to its use, or ask for it in a portable format. Email hello@letterdoor.com and we'll respond within one month. You can also complain to the Czech data protection authority, Úřad pro ochranu osobních údajů (uoou.gov.cz).
Our website does not use advertising or tracking cookies. Our dashboard uses a session cookie that is needed to keep you signed in. Fonts are served from our own website.
Letterdoor is for one-to-one business correspondence that you write yourself. It is not a marketing or bulk email service.
If you received unwanted email sent through Letterdoor, forward it with full headers to abuse@letterdoor.com. We respond to abuse reports within one business day.
